D365 Business Central Is Not Just an ERP — Here’s What Every Functional Consultant Needs to Understand First
Estimated read time: 6 minutes | Target: New & Transitioning Functional Consultants
You passed the MB-800. You landed your first BC project. And now you’re staring at a screen wondering why it feels nothing like what you studied. Here’s why.
As an MCT with 12+ years in the ecosystem, I’ve noticed a common trend: new Functional Consultants often get lost in the “features” and forget the “foundation.”
Whether you are transitioning from NAV, GP, or are completely new to the Microsoft stack, understanding Business Central requires shifting your perspective. It’s no longer just an ERP it’s a Business Management Solution that lives within an interconnected ecosystem.
1. It’s a “Cloud-First” ERP (But Not “Cloud-Only”)
The biggest shift from the legacy NAV days is the “Evergreen” nature of BC.
- The Functional Impact: You no longer wait 5 years for an upgrade. Microsoft pushes major updates twice a year (Wave 1 and Wave 2).
- The Consultant’s Role: Your job has shifted from “Installation” to “Continuous Evolution.” You must stay ahead of the roadmap to ensure your clients aren’t surprised by new UI changes or feature deprecations.

2. The Power of Dataverse and the Power Platform
In the old days, if a client wanted a mobile app or a complex workflow, we looked for an Add-on or wrote heavy custom code. Today, Business Central is the “Heart,” but the Power Platform is the “Limbs.”
- Power Automate: For complex approval workflows that go beyond the standard BC engine.
- Power BI: For high-level dashboards that standard Report objects just can’t match.
- Power Apps: For building simple, frontline-worker tools that talk to BC data in real-time.

3. The AppSource Revolution
For a Functional Consultant, AppSource is your new best friend. Before you ask a developer for a customization, your first step should always be checking if a vetted Add-on already exists.
Why? Add-ons are easier to maintain, they follow Microsoft’s validation rules, and they don’t break during those bi-annual Evergreen updates. On more than one project, I’ve saved a client weeks of development time — and thousands in budget — simply by finding the right AppSource extension first.

4. The “Modern Client” Mindset
We have officially moved past the RoleTailored Client (RTC). The modern web client is accessible from any browser, tablet, or phone.
The key to success here is Personalization. A great Functional Consultant doesn’t just show the “Standard” screen. They use Design Mode to hide unnecessary fields and bring critical data to the forefront making the system feel tailor-made without a single line of code. On a recent project, I hide 14 unused fields on the Sales Order page and the client genuinely thought we had built a custom screen.

Conclusion: More Than Just “Accounting Software”
Business Central is the engine, but as a Functional Consultant, you are the driver. Your value isn’t just knowing where the “Post” button is it’s knowing how the entire Microsoft ecosystem can solve a business problem.
